For tour operators and DMCs selling trips built from several products, routine work piles up at three points: when the trip is put together, when payments fall due, and when something changes. GP Solutions has rolled out GP Travel Enterprise Release 12.6, which hands more of that work to the system, from one basket for the whole trip to payment schedules that build and update themselves.

Release 12.6 at a glance

Release 12.6 touches nine areas of GP Travel Enterprise by GP Solutions, and the sections below pick out the changes that make the biggest difference in everyday work. This isn’t the complete list: smaller updates and the changes that apply on upgrade are in the 12.6 Release Notes, linked at the end of this post.

Search and Book

Booking Basket for Multi-Product Trips

The booking basket in GP Travel Enterprise collects services from most product searches into one cart, which you can save as a quote, add to an existing reservation, or take to a single checkout. At checkout, travelers are entered once for the whole cart, and everything in it, packages included, is booked as one reservation.

For your own products on the new inventory, the cart can also hold prices and availability for a set time while you finish the booking. A hotel, transfers, and activities sold together go through one booking flow instead of several.

What else is new:

  • Search results for most products expire only when an offer has actually gone, not on a 15-minute timer.
  • The table view of package search runs on a new search service that indexes your packages every hour and re-checks the page you’re viewing against live inventory.
  • Manually priced packages appear with prices in the table view of package search.

Packages

Flight Budgets on Packages

A package in GP Travel Enterprise can include the flight as a budget per guest category instead of a fixed flight. The budget is added to the package price, and at booking you search a flight for each room: flights within the budget are marked FREE, and only the surcharge on the others is added.

Package search skips the flight, so these packages still appear in results. If you sell flights-included promotions, you no longer have to fix one departure city or reprice every combination.

What else is new:

  • Package itineraries can show an end time, so the arrival date and time appear on the package page, the booking page, and in the reservation.
  • Activities in a package get their pick-up and drop-off points filled in from the package hotel for that date.
  • A package page can recommend similar packages of the same brand, each with a Search button that repeats the current search.
  • Package search can allow up to 999 travelers per unit.

Quotations and Reservations

Live Reservation Page

An open reservation page in GP Travel Enterprise updates itself whenever the booking changes. When a colleague, a supplier, or a background process saves a change to a service, a traveler, a payment, a document, or a queue item, the page refreshes in every browser where it’s open, without a reload. Agents don’t work from a stale screen while the booking changes in the background.

What else is new:

  • Flights booked directly in Amadeus, Sabre, or Travelport can be imported into a reservation by their record locator, with travelers, price, and baggage carried over.
  • Quotations your team builds start as drafts with versions, and agencies see them only when you’re ready to show them.
  • Agency users can edit and delete Quote services for your own products, controlled by new permissions.
  • You can copy services into a different reservation with Quote It Again.
  • Reservation details warn you when destination dates overlap.

Cancellation and Payments

A Payment Schedule Strategy on Every Contract Group

Every contract group in GP Travel Enterprise has a client payment schedule strategy, and each reservation’s schedule is generated from it. The schedule recalculates when the price or the travel start date changes, and it’s rewritten only when the result differs. New contract groups start with a Default Strategy, and strategies are editable scripts for anything more specific. If a schedule can’t be generated, the reservation goes to a queue where your team can retry it.

Cancellation Fee Ranges and Seasonal Conditions

Contract cancellation conditions can hold several fee ranges for each product type instead of a single row, and where ranges overlap, the strictest one applies. Each season in a contract can also carry its own cancellation conditions, defined by stay dates and, optionally, booking dates. Cancellation terms follow the way contracts are actually negotiated, which leaves fewer fees to override by hand when a client cancels.

What else is new:

  • Cancellation conditions for the whole reservation have their own dialog, opened from the reservation summary.
  • Cancel all shows the total cancellation fee, split into client and supplier fees, before you confirm.
  • You can choose which payment methods are offered at booking, and skip the choice when only one is available.
  • First-level tour-operator users book without the I agree boxes, and you can hide them for travel agencies too.

Pricing

  • Own trains and own cruises can be priced by the number of guests, with a price for each guest range.
  • Markup rules can target train and package tour products, with conditions by product, dates, supplier, and tags.
  • In the sales price lists of pre-calculated packages, each component takes the markup rule of its own product type.
  • Own car rental is counted in 24-hour cycles from the actual pick-up and drop-off times.

Product, Inventory, and Contracting

Pending Bookings Confirmed When Space Frees Up

Own-product services booked on request can confirm themselves when a sold-out date gets availability again. GP Travel Enterprise picks up the on-request services for that date oldest first, moves each onto the best allocation pool in the same tariff, and confirms it at its original price. Your team doesn’t have to watch sold-out dates and confirm waiting bookings one by one.

What else is new:

  • Hotel allocations can carry arrival, departure, and length-of-stay restrictions for each date, set one by one or in bulk.
  • In a multi-brand setup, a new product can take only a supplier of its own brand.
  • Wide price lists keep the row-name column in view while the price columns scroll.

Purchase Orders and Suppliers

Automatic Purchase-Order Payment Schedules

Supplier payment schedules on purchase orders are generated automatically from a payment strategy set on each allocation. Each strategy is a set of deposits, due a number of days after booking or before departure, plus a final payment for the rest. The schedule is generated when a purchase order is created and again when its total or the travel start date changes, and you can still edit it by hand. Together with client payment schedules, GP Travel Enterprise schedules payments in both directions.

Automatic Purchase-Order Payment Schedules

What else is new:

  • A purchase order can generate a rooming list PDF for the supplier, kept as numbered versions.
  • Guest details such as special meals or room preferences stay in step between a service and its purchase order.
  • Supplier contracts have a Contract # field, captured at booking.

Administration

  • Service-level documents and emails can print each service’s Terms & Conditions tips.
  • Product booking fields have their own settings page, where each field is set to Mandatory, Optional, or Disabled per product type.
  • You can set the phone numbers and emails guests see on their booking confirmation page separately from your company profile.

Integrations and APIs

  • Package search: API calls reindex the new package search, in full or one package at a time, and check the reindex status.
  • GetOrder: each traveler carries its External ID for your external systems.
  • Orders API: each purchase-order service returns the supplier contract number in force at booking.
